Reserving Rooms on Campus (Chandler Employees Only)

Employees may reserve the following resources directly from your Chandler Google Calendar:

  • Dickerson Point
  • Rothenburg Courtyard
  • Pranyoto Patio
  • Ahmanson Performing Arts Center
  • Johnson Library
  • MS Courtyard
    Innovation Multipurpose Room
  • Sports Court
  • Gym Floor
  • MacQuoid Field
  • Johnson Courtyard
  • Head's Library
  • and the school vehicles

Prior to scheduling athletics spaces, please obtain permission from the PE staff before proceeding; even if they appear available those spaces are already in use during school hours.

To schedule resources, open your work Google Calendar and start an entry for the date and time (start and end - both are critical) that you desire. Note to include any setup AND cleanup time you may need. From the “Add rooms” link, select a space, noting that suggested rooms are listed first or you can drill down by buildings. Only available spaces are displayed in the buildings. Once selected you can add Add guests, etc. then Save.

I'm teaching a class or having a special activity in the Ahmanson or other shared space. Do I still need to book it?

Yes. This system is the authoritative system for tracking who-is-using-what. If you are using the space you should add a reservation. You will likely need to set the recurring period with the start/end time and (very important) and end date.

I'm booking a reservation for another employee or a 3rd party (parents, scouts, etc) but the entry shows up on MY calendar, why is that?

If you want a reservation but you don't want it on your calendar please contact operations@chandlerschool.org

Who is already using a space? Researching Space Conflicts

If you just want to see who is using what room (when researching conflicts, for example) you may view individual room calendars on the Operations resource board.

I'm trying to add a reservation for a specific time and date but the space I want isn't showing up as an available room. What gives?

The space is likely already booked. You'll need to find a different time, date or location, or work through the conflict with whoever already booked the space.

I book a space with a recurring reservation but I keep getting sent an email with an error. What is happening?

ONE or more of your recurring reservations has a conflict and you were denied for those dates/times. Please carefully review the error.

Adding items to the School Calendar and/or Athletics Calendar

The room reservation process is separate from adding entries to the school calendar. If you would like an entry on the school calendar please continue to contact operations@ but know that this is not required if you simply want to schedule a space.

To add things to the Athletic Calendar please contact the coach for a specific team. Coaches can update their game and practice schedule via their team group page. These feed directly into the Athletic Calendar.

Additional Maintenance / Facilities Requests

Reserving a space does NOT trigger a maintenance/facilities request (more info here on these types of requests). If you have extra requests you should first reserve the space and 2nd send in an operations request. If you would like a “one stop shop” you may include both the reservation request and operations request into one email message.
